POSITION TITLE: Financial Administrative Assistant
DEPARTMENT: Knúcwmens le Sxwixwéytemc Archaeology Services Ltd. (KSAS)
SUPERVISOR: Executive Financial Administrator
TERMS: Full-Time, Permanent

Purpose of Position:
The purpose of this position is to perform a variety of essential administrative duties for the KSAS Team, under the direction of the Executive Financial Administrator.
Duties and Responsibilities:
Provides professional administrative and clerical support in accordance with the approved practices, policies, budgets, standards and guidelines. (80%)
- Understands and completes financial tasks such as purchase orders, invoices and cheque requisitions.
- Data entry and account reconciliation
- Compiles, printing and distributing financial reports and statements as directed.
- Update internal records and maintain an organized file system
- Performs all duties and responsibilities in accordance with the TteS policies, standards, and procedures.
- Maintains confidentiality on all matters relating to the affairs of the TteS.
Human Resource Support (15%)
- Receives and prepares employees timesheets for approval and processing.
- Supports employees to complete the correct forms for travel or reimbursement as needed.
- Provides information to employees on office procedures, human resources, and administrative processes as they apply.
- Assists with the development of and executes employee onboarding procedures.
5% Other related duties as necessary.
- Assists with the various departmental social functions such as events and gatherings at the direction of the Executive Financial Administrator.
Professional Certification, Education and Experience:
- Certificate in business administration, accounting or related field and 1 year clerical/administrative support experience or an equivalent combination of education and/or training in accounting, bookkeeping, payroll and office administration.
- Experience/training in keyboarding, word processing, Excel, spreadsheet, the Internet, databases and other standard computer applications
- Must possess a minimum of 50 words per minute keyboarding speed.
- Must possess a valid class 5 Driver’s Licence
- Proficiency in accounting software is an asset
Financial Responsibility:
This position supports the Executive Finance Administrator with the financial responsibilities. This requires bookkeeping, reviewing general ledgers, purchase orders, accounts payable, accounts receivable, invoicing and consolidating data for financial reporting.
Supervision or Training Duties:
This position does not directly train or supervise staff. This position may help with summer students or interns as needed.
Special Requirements
A strong background in financial administration, business, and accounting is required to ensure the on-going maintenance and organization of KSAS revenues and expenditures.
Skills and Abilities:
- Financial Acumen and Analytical Skill; ability to analyze financial data and extract meaningful insights to guide decision making
- Leadership: ability to lead and mentor administrative team members to ensure high performance and collaboration.
- Technical Proficiency: Advanced knowledge of Microsoft Excel., Microsoft Word and Microsoft Outlook and data management tools.
- Strong attention to detail: ensuring accuracy and precision in financial documentation and data management.
- Strong organizational, data management, skills
- Advanced filing skills, both digital and paper, including development and maintenance of filing systems.
- Proven ability to execute advanced office procedures and practices.
- Ability to take initiative.
- Strong tact and diplomacy.
- Maintains confidentiality with sensitive financial/contract data and employee information to the highest degree.
- Demonstrated teamwork and cooperation, service orientation and problem solving and judgement skills.
- Excellent professional oral and written communication skills.
- Archaeological or construction administration experience is considered an asset
- Understanding of Secwepemc culture and heritage or experience working with a First Nations organization considered an asset.

HOURS OF WORK: Normal Day shifts – 7 hours. Non-normal shifts may be required.
PAY GRADE: Starting at $27.32-$29.68/hour depending on education & experience
