Purpose of Position:

 

The Events and Communications Assistant provides direct support to the Events Coordinator and Communications Coordinator to assist with community engagement, event planning, and promotional activities. This role also supports TteS social media and digital platforms, helping ensure our mission and initiatives are communicated clearly and effectively.

 

Duties and Responsibilities:

Plans, organizes, and coordinates organizational events within budgets, policies, and standards for the TteS. (95%)

 

Communications Coordination & Support: 

  • Assist in the implementation of communications strategies to inform community members, various levels of government and the public of initiatives, policies, and businesses of TteS.
  • Assist in organizing and compiling submissions for the community newsletter, website, communications app, and regular mail.
  • Print and distribute materials, managing related mailouts effectively - Maintain both physical and digital filing systems for communication records.
  • Provide logistical support for staff meetings, including room bookings and set up of audio/visual equipment.
  • Assist the Communications Coordinator with the set-up, operation, and troubleshooting of audio/visual equipment (such as microphones, projectors, speakers, laptops) for meetings, events, and training sessions.
  • Assist in maintaining communications equipment to ensure it is organized, functional, and ready for use.
  • Ensure all communications are clear, consistent, and accessible, and adhere to TteS’s brand, core values, and mission statement.

Event Coordination & Support:

  • Assist in the collection of quotes from various event subcontractors such as caterers, cultural performers, elders, technicians, etc., as requested.
  • Assist with other event logistical requirements as requested such as drafting communications, creating surveys, liaising with internal departments, and providing general customer service and support.
  • Assist events leads with maintaining accurate records and documentation related to events, including budget spreadsheets, expense reports, and contracts, while adhering to financial guidelines and accountability
  • Assist event lead (Event Coordinator) in delivering smooth event programming during in-person and virtual events by providing the following support (internal event briefings, event set-up and tear-down, etc.)
  • Ensuring the event kit is brought onsite to support event delivery and is returned to the storage room following the event.
  • Assist in greeting Elders, Speakers, Performers, and other honoured guests.

Organizational Skills & Administration Support:

  • Support the Communications and Events Coordinators as required.
  • Office work includes but is not limited to answering and returning phone calls, follow-up with inquiries, computer data entry, and assistance with correspondence and event files.
  • Proficient in monitoring shared inboxes, responding to inquiries in a timely manner and efficiently updating and managing shared task planners.
  • Participating in Indigenous cultural training and remaining up to date on Indigenous cultural practices, traditions, and best practices in event management

Carrying out other duties as assigned that are essential to the position as directed.

 

All Other related duties as required. (5%)

 

 

Professional Certification, Education, and Experience:

 

  • 1 year directly related experience or an equivalent combination of education and experience.
  • Demonstrated experience planning, organizing, and coordinating events.
  • Must possess a valid Class 5 drivers license and have access to reliable personal transportation for corporate use.

 

Financial Responsibility:

  • No direct financial authority. Supports accurate tracking of event-related expenses.

 

Skills and Abilities:

 

  • Ability to plan, organize, and coordinate work
  • Excellent oral and written communication
  • Strong teamwork and cooperation, service orientation skills 
  • Ability to balance and blend various departmental needs into effective communication strategies
  • Proficient in MS Office, Excel, and Outlook 
  • Experience on social media sites and WordPress website management an asset
  • Knowledge and understanding of monitoring services and communication techniques
  • Basic understanding of photography · Ability to work in a cross-cultural environment

HOURS OF WORK:      Normal Day shifts – 7 hours. Non-normal shifts may be required.
