POSITION TITLE: Housing Intern

Purpose of Position:
The purpose of this position is to provide administrative support to the entire Housing Department.
This position will also include the physical and electronic filing, as well as planning.
Duties and Responsibilities:
- Supports and assists the entire Housing Department by receiving shadowing, succession planning, and the creation of an onboarding manual to ensure quality client service to the TteS community members. (90%)

- Coordinate and schedule shadowing sessions for employees across different roles within the Housing Department.
- Communicate shadowing schedules and objectives to both the "shadow" and the "shadowed" employee.
- Prepare necessary materials and resources for shadowing sessions (e.g., checklists, observation guides).
- Ensure shadowing sessions are conducted effectively and provide opportunities for active learning and questions.
- Gather feedback from both the shadow and shadow employees regarding the effectiveness of the sessions.
- Assist in identifying cross-training needs within the department based on the succession plan and operational requirements.
- Help develop cross-training plans in collaboration with department staff and subject matter experts.
- Track employee participation and progress in cross-training activities.
- Provide administrative support for cross-training programs (e.g., scheduling, room booking, material preparation).
- Act as a point of contact for employees participating in shadowing or cross-training, addressing their questions and concerns.
- Provide guidance and support to trainees to ensure a positive and productive learning experience.
- Help connect trainees with relevant resources and personnel within the department.
- Assist in coordinating development activities for specialized training, mentorship opportunities, and project assignments.
- Collaborate with all staff within the Housing Department to gather comprehensive information about their roles, processes, procedures, and key responsibilities.
- Review existing documentation, policies, and procedures relevant to onboarding.
- Conduct interviews and meetings with staff members to collect insights and best practices.
- Develop clear, concise, and user-friendly content for the onboarding manual, covering all essential aspects of working within the Housing Department.
- Organize the manual logically, ensuring easy navigation and information retrieval for new employees.
- Include information on department structure, key personnel, communication channels, essential software and systems, relevant policies, and common workflows.
- Develop a housing checklist and guides for new hires and their manager/supervisors to ensure a smooth onboarding process.
- Regularly collaborate with the Housing Manager to review and validate the content of the onboarding manual.
- Incorporate feedback and make necessary revisions to ensure accuracy and completeness.
- Format the manual in a professional and accessible manner (e.g., using clear headings, bullet points, visuals where appropriate).
- Consider different formats for the manual (e.g., digital, print, or a hybrid approach).
- Contributes to the development of a plan for the implementation and ongoing maintenance of the onboarding manual.
- Collaboration and teamwork with the Housing manager on projects as needed.
- Maintains confidentiality on all matters relating to the affairs of TteS.
- Responds to all incoming requests (email/phone) in a timely manner or as otherwise set by the Housing Manager, ensuring acknowledgment, progress updates if needed, and communication of final resolution or next steps while maintaining a professional and helpful demeanor.
- Prioritizes and promptly responds to requests from upper management, providing clear and concise information and escalating any roadblocks or potential delays as necessary.
- When research is required to fulfill a request, communicate the need for additional time to the requester in a timely manner.
- Provides an estimated completion date and keeps the requester updated on progress.
- Performs all duties and responsibilities in accordance with the TteS policies, standards, and procedures.
- Support Housing staff as required. (5%).

- Be aware of Secwépemc cultural protocols in connection with all departmental activities.
- Liaise with various organizations and departments and ensure organizations’ strategies are aligned and implemented accordingly.
- Code invoices with the correct expense code.
- Create and follow up on contracts for maintenance/renovations with vendors or TteS Housing Maintenance Crew.
- All Other related duties as required. (5%).

- Works cooperatively with others to support TteS’s respectful workplace and to provide quality, seamless customer service.
- Participates in workshop training programs and seminars provided by TteS to upgrade skills and knowledge relevant to the position.
- Demonstrates continuous effort to improve TteS operations, decrease turnaround times, and streamline work processes.
- Share information and request feedback from TteS membership at General Band Meetings, Annual General Meetings, and through weekly internal communications as appropriate and requested.
Professional Certification, Education and Experience:
Completion of Highschool Diploma or equivalent.
50 words per minute keyboarding speed.

Skills and Abilities:
- Proactive and self-motivated.
- Strong tact and diplomacy, and the ability to deal with difficult clients.
- Excellent organizational and planning skills.
- Knowledge of Housing funding agencies, (CMHC, INAC, ISC, TteS is an asset).
- Must have strong teamwork and cooperation, service orientation and problem solving, and judgment skills.
- Ability to work in a multi-cultural setting.
- Exceptional interpersonal and communication skills with the ability to use tact and diplomacy.
- Flexible, committed and enthusiastic.
- It is expected that all TteS employees be willing to continuously upgrade their skills and knowledge, and to further their formal training.
Special Requirements:
Applicants must be Indigenous.
Applicants must be between 15 – 30 years of age.
HOURS OF WORK: Normal Day shifts – 7 hours. Non-normal shifts may be required.
PAY GRADE: Starting at $20.88 per hour.
