POSITION TITLE: Assistant Manager

Purpose of Position:
The purpose of this position is to perform a variety of essential administrative and executive duties for the Community Services Manager, as well as the Community Services Department. Additionally, this position is the first line of contact for clients and must ensure that the successful management of communication, records and filing support is achieved on a daily basis.
Duties and Responsibilities:
Supporting the overall success of the community services Department through administrative, supervisory, and monitoring activities.
- Assisting with a variety of social service areas including Family Support, Income Assistance, Mental Health, Drug and Alcohol, Community Justice, and Membership.
- Adhering to TteS organizational plans and visions, following all internal and external processes in accordance with bylaws, laws, language, culture, demonstrating practices and always acting in the best interest of the community and Membership, now and for future generations.
- Support the Manager in all duties as needed and required, including coverage for sick and vacation time, and when on leave.
- Support the implementation of organizational and departmental strategies to ensure they are aligned and implemented accordingly and in compliance.
- Attend management meetings and stay current on organizational activities and projects when needed.
- Support supervision of community services staff in the following capacity:
- Day- to-day mentorship, training, and support for staff on projects and activities.
- Collaborate with manager on making decisions on non-political and non-critical project and departmental items.
- Sign off on timesheets, scheduling, and requests for vacation or sick time.
- Supervisory support of staff. Any coaching or discipline of staff is to go through CS Manager.
- Assists in the development and implementation of policies, procedures, administration and management of all departmental activities.
- Collaboration and teamwork with manager on projects as needed.
- Required monthly budgets balances and revenues to inform decision making.
- Be aware of Secwepemc cultural protocols in connection with all departmental activities.
- Liaise with various organization and departments and ensure organizations strategies are aligned and implemented accordingly.

- Monitor expenditures, calculates budget balances, advises on fund availability (e.g., funding through Indigenous Services Canada (ISC), ISPARC, FNHA, QHS etc.)
- Process invoices and manages accounts with the correct budget and expense code.
- Share information and request feedback from TteS membership at General Band Meetings, Annual General Meetings, and through weekly internal communications as appropriate and requested.
- Consult with TteS departmental representation as required for any agreements,
- Supervision
- Direct activities to department support staff/contractors/consultants based on department priorities.
- Assist in the hiring process for department staff.
- Supervise the day-to-day operations and activities of the Community Services Department.

- Respond to inquiries from time to time from other departments, inquiries from the public, or inquiries outside of scope to be handled by the Community Services Department as directed by the Community Services Manager.
- Sit on committees, task forces and boards representing TteS as requested by the Manager.
- Work directly with travel agents to support Elders trips to Gatherings and other engagements.
Professional Certification, Education and Experience:
- A bachelor’s degree in health sciences, Business Administration or relevant program and/or 3-5 years’ work experience in a similar work environment or an equivalent combination of education, training and/or experience.
- Project management certificate or equivalent an asset.
- Accounting and/or bookkeeping certification an asset.
- Experience managing a staff team.
- Must be skilled in a variety of computer programs including Microsoft Suites, Canva, Sage, database programs and other standard computer programs.
- Must possess a class 5 drivers’ license with ability to obtain a class 4 and have reliable transportation.
- Must pass Criminal Record Check/Vulnerable Record Check
Financial Responsibility:
Monitors accounts receivable and payables; works closely with manager and finance department. Assists manager in preparing yearly budgets. Creation and implementation of fiscal management policies and procedures. No sign off authority.
Supervision or Training Duties:
Supervise up to 20+ staff, with 4 supervisors within Community Services
Skills and Abilities:
- Demonstrated ability to delegate and oversee workload of staff to create and equitable division of projects.
- Demonstrated ability to multitask; coordinate, plan and manage concurrent activities including expertise in establishing project priorities and ability to meet deadlines.
- Strong working knowledge of typical agreements and contracts, processes, policies, and program delivery.
- Excellent grant writing skills.
- Ability to take initiative and establish communication mechanisms to ensure staff, colleagues and stakeholders are regularly informed. Excellent written and oral communication skills.
- Advanced computer skills, specifically with Microsoft suite of products, including project management/tracking software.
- Ability to research, collect and verify data and prepare associated reports and other documents.
- Self-motivated, strong work ethic, tactful, principled, and diplomatic.
- Experience working in a fast-paced environment, working closely with a team while demonstrating cooperation, service orientation, problem solving, and judgement skills.
- Ability to work in multi-cultural settings and interest in learning about TteS language, culture, and history.
- Exceptional conflict resolution and mediation skills.
- Understanding of progressive disciplinary processes.

HOURS OF WORK: Normal Day shifts – 7 hours. Non-normal shifts may be required.
PAY GRADE: Starting $35.87 - $39.62 depending on education and experience.
