POSITION TITLE: Commercial Property Administrator
DEPARTMENT: Sc.wén̓wen Land Development Corporation (SLDC)

Purpose of Position:
The Commercial Property Administrator supports the day-to-day administration and operation of the commercial property portfolio managed by SLDC. The position coordinates tenant, vendor, maintenance, financial, and administrative requirements to help ensure properties are well maintained, professionally administered, and operated in accordance with applicable agreements, budgets, and organizational standards.
Duties and Responsibilities:
The position responsibilities vary and include the following:
Property Operations and Maintenance
- Coordinate day-to-day operational and maintenance requirements for assigned properties.
- Conduct regular property inspections and maintain property condition records.
- Coordinate and track preventative maintenance, repairs, building services, and approved property improvements.
- Monitor service contracts, maintenance schedules, warranties, and completion of work.
- Coordinate tenant improvements and fit-outs, including access, scheduling and operational requirements, as assigned.
- Identify property risks, maintenance concerns, or operational issues and coordinate appropriate follow-up or escalation.
Tenant Administration:
- Serve as a primary point of contact for routine tenant inquiries and property-related matters.
- Coordinate tenant move-ins/outs, inspections, signage, access, and other requirements.
- Maintain tenant/lease records and monitor key dates, requirements, and compliance matters.
- Coordinate documentation related to tenant improvements, permitting, insurance, etc.
- Support preparation and administration of routine leasing documentation, notices, renewals, and correspondence under the direction of senior staff.
- Maintain positive and professional tenant relationships.
Property Records and Vendor Administration:
- Maintain and support implementation of property/asset maintenance plans, including service schedules, warranties, and planned maintenance requirements.
- Coordinate vendor and contractor procurement, contracts, renewals, and ongoing service delivery, including regular and seasonal services such as snow removal, landscaping, janitorial, and waste management.
- Maintain vendor and tenant Certificates of Insurance and coordinate required property insurance documentation.
- Obtain quotes and procure or coordinate contractors and service providers in accordance with established approval authorities.
- Schedule and monitor contractors and vendors performing work at assigned properties and follow through on completion and service issues.
- Maintain vendor records and identify opportunities to improve service, cost, or operations.
- Coordinate property emergency service arrangements, including ensuring 24-hour on-call and emergency coverage is maintained for assigned properties.
Administration & Reporting:
- Maintain accurate and complete property records, including legal and compliance, insurance, health and safety, environmental, emergency and risk management, property agreements, corporate and tenant records, and related administrative documentation.
- Maintain accurate and complete financial records for assigned properties.
- Monitor expenditures against approved budgets and identify and report budget variances.
- Approve/verify accounts payable items and expenses within established approval authorities.
- Coordinate recurring property billings and expenses, including property taxes, utilities, service contracts, and other operating costs.
- Monitor accounts receivable and coordinate collection activities and follow-up correspondence.
- Review annual expense reconciliations and coordinate related tenant correspondence.
- Support annual property budget preparation and ongoing forecasting.
- Review property tax assessments and coordinate appeals or other follow-up, as required.
- Prepare regular management reports and analysis on property operations, financial performance, tenant matters, risks, and other key issues.
- Coordinate with Sc.wén̓wen marketing to support property marketing and leasing activities, including promotion of available spaces, tenant materials, and relevant market research.
Financial Responsibility:
Yes. Assist with preparation and monitoring of property operating budgets, invoice processing, accounts receivable administration, operating cost reconciliations, and maintenance of accurate property financial records.
Supervision or Training Duties:
No direct staff supervision. Coordinate and monitor external contractors, vendors, maintenance providers, and other service providers, as assigned.
Professional Certification, Education and Experience:
- Diploma or degree in business administration, property management, or a related field.
- Three (3) years of progressively responsible experience in commercial property administration, property management, facilities coordination, real estate administration, or a related role, with direct commercial property experience preferred.
- Experience working with commercial tenants, contractors, vendors, or service providers.
- Experience with property, lease, financial, or contract administration is an asset.
- Experience working with Indigenous organizations, local government, or public-sector environments is an asset.
- Valid Class 5 BC Driver’s Licence and access to a reliable/insured vehicle.
- Equivalent combinations of education, training, and directly relevant experience will be considered.
Skills and Abilities:
- Strong organizational and administrative skills, with demonstrated initiative, accountability, and follow-through.
- Strong attention to detail and ability to manage competing priorities and deadlines.
- Strong relationship management and interpersonal skills, with the ability to provide excellent tenant service while professionally managing expectations and obligations.
- Ability to interpret/work with leases, contracts, invoices, and property-related documentation.
- Working knowledge of commercial property operations and maintenance practices.
- Sound judgement and strong problem-solving skills, with the ability to identify practical solutions and make recommendations before escalating matters requiring direction.
- Strong written and verbal communication skills.
- Proficiency with Microsoft 365 and relevant property, financial, or project management systems.
- Ability to work independently and collaboratively.
- Commitment to learning and applying TteS culture, language, and history in professional practice.
Working Conditions
The position works both independently and collaboratively with internal and external stakeholders, including TteS staff, tenants, vendors, contractors, consultants, service providers, and other business partners.
- Primarily office-based, with regular travel to assigned commercial properties.
- Participation in meetings or property-related activities outside regular working hours may be required.
- The position is required to be reasonably available outside regular working hours to respond to urgent tenant or property matters and coordinate appropriate follow-up or emergency response.
- Prior to starting employment, a Criminal Record Check may be required.

HOURS OF WORK: Normal Day shifts – 7 hours. Non-normal shifts may be required.
PAY GRADE: $37.74-$43.37 depending on education & experience
