POSITION TITLE: Community Health Representative (CHR) Assistant

Purpose of Position:
The Community Service Health Assistant is responsible for the efficient, timely and accurate processing of member requests with respect to the medical/dental funds. s. In addition, the incumbent is responsible for assisting with a variety of financial tasks associated with these funds within the Community Services Department for the Tk’emlúps te Secwépemc, (TteS).
Duties and Responsibilities:
The Community Service Health Assistant will provide support to the Community Services Health Representative in the following areas:
- Financially administer Medical/Dental funds in accordance with their respective policies, standards and procedures
- Compile and track receipts, applications, establish and maintain files and other related documents
- Monitor funds, their expenditures in comparison to their respective budgets,
- Draft purchase orders and cheque requisitions
- Monitor funding expenditures as payments are being made out each week from the budgets.
- Submit financial report analysis to the Community Services Health Representative and keep the Community Health Representative informed about the funds
- Ability to perform duties under pressure (i.e., meeting deadlines, producing a high volume of work with speed and accuracy, paying attention to detail)
- Maintains confidentiality on all matters relating to the affairs of TteS.
- Wellness checks to our community members, via telephone calling.
- Create documents, as needed (i.e. Medical Equipment Sign In/Out Sheets, etc.)
- Advocate for clients between medical & recreation, when required.
- Request the transference of recreation funds to medical funds, when deemed urgent
- Keep track of medical supplies & equipment
- Take inventory of medical supplies & equipment
- Create brochures & pamphlets for the health team staff.
- Booking of venues, flights & hotels for medical purposes
- Organize & assist in hosting of various workshops.
- Calculating accommodations, milage, and meal expenses for clients
- Assist clients in filling out appropriate medical forms (First Nations Health Authority, Pacific Blue Cross)
- Upkeep of the filing system
- Creating of new files for clients
- Gathering of information & creation of “Workshop Binders” for the health department
- Ordering of office & medical supplies
- Keep all forms up to date & fully stocked at the drop box.
- Keep up on current changes within the medical agencies
- Attend workshops, meetings, team builders, and mandatory meetings.
- Attend workshops, meetings, in the absence of the Community Services Health Representative
- Must be able to travel, in or out of town, for workshops & meetings as well
- Perform other duties as assigned.
Professional Certification, Education and Experience:
- Minimum high school diploma or equivalent
- A combination of one (1) year clerical/administrative support experience, education and/or training or an equivalent combination of education and experience.
- Experience/training in keyboarding, Internet, the Microsoft Suite of software products and any other standard computer applications.
- Must pass Criminal Record Check—Vulnerable Sector.
- MS Excel experience
Skills and Abilities:
- Proficient in Microsoft Office.
- Ability to maintain a high level of accuracy.
- Be detail oriented with strong organizational skills.
- Good oral and written communication skills.
- Strong ability to be flexible and take initiative.
- Ability to work independently and use good judgment, focus on details.
- Ability to organize workload, set priorities and meet deadlines.
- Ability to interpret and monitor compliance with financial policies and procedures.
- Ability to accurately enter, retrieve and modify information from a variety of sources
- Ability to perform duties under pressure (i.e., Meeting deadlines, producing a high volume of work with speed and accuracy, paying attention to detail)
HOURS OF WORK: Normal Day shifts – 7 hours. Non-normal shifts may be required.
PAY GRADE: Starting at $22.59-$24.95/hour depending on experience
